TERMS & CONDITIONS
In the following terms & conditions, Berlin Activities, “we”, “our” and “us” refers to HU4F Kft..
POF refers program organization fee / deposit.
The words “you” and “your” refers to the person making the booking and “group” refers to you and all the people traveling with you and using the BerlinActivities services. It is assumed that you are the main contact for the group and that all correspondence will take place between you and us.
HOW TO BOOK
When making a booking with us, you must send us details of your group numbers, dates and activities and pay the required program organization fees (POF) /deposit / full amount (depends on the activity or service). Your contract with BerlinActivities/HU4F Ltd. shall not come into existence until we issue you with an agreement. By making a booking with us, it is assumed that acceptance of these terms & conditions is understood. As the person making the booking, it is your responsibility for making all parties in your group aware of these conditions.
PRICING
Following your inquiry, we will send you a detailed initial proposal via email. This document will clearly outline all activity and service costs specific to your request, including all relevant details. There are no hidden extras.
We will final quote the price for your selected itinerary at the time you make your reservation. Once you have paid your POF/deposit/full amount and received our invoice/confirmation, the price of your itinerary arrangements is fully guaranteed and will not be subject to any surcharge, except in the case of major currency fluctuations or vis major.
Our pricing structure is tailored to the type of booking:
Private Groups: All prices displayed on our website for private group activities and celebrations are inclusive of VAT.
Corporate Events: Prices listed under our Corporate sections are quoted exclusive of VAT, which will be added to the final invoice at the applicable rate.
CHANGES MADE BY YOU
If you wish to change your booking in any way we will try to comply with your requests but we cannot guarantee that changes can always be made. Where a change can be made, we will not charge an amendment fee however you will be charged for any extra costs incurred by ourselves and any costs or charges incurred or imposed by any of our partners.
CANCELLATION BY YOU
Cancellations made less than 14 days prior to the event are subject to a 100% cancellation fee (depends on the activity or service you requested). Written notification from the person who made the booking must be received by us. Since we incur costs in cancelling your booking, you will be required to pay the applicable cancellation fees and we will minimize the non-refundable cost.
CHANGES MADE BY US
We may be planning your itinerary arrangements, and although it is very unlikely, it may sometimes be necessary for us to make amendments to your booking. We reserve the right to change any partner at any moment, where we believe levels of service or value are not being upheld, or for any other reason. Although we will always try to advise you of these minor changes before you depart, we face no obligation to do so.
LIABILITY
Your safety and enjoyment are incredibly important to us. We pride ourselves on working exclusively with highly professional, trusted, and fully qualified local partners. We take great care and responsibility in organizing your itinerary and selecting these providers and people we work with.
If anything unexpected happens during your trip-such as an accident, injury, or illness-we will always do our absolute best to support you, mediate with the local partners, and help you find the best possible solution. However, because Berlin Activities acts as an intermediary booking agent, we cannot accept legal or financial liability for the acts, omissions, accidents, or damages caused by these independent third-party providers.
Furthermore, we accept no liability for any accidents or injuries that occur while any member of your group is under the influence of alcohol or drugs. In the event of a claim regarding personal injury or damages, you must seek compensation directly from the primary activity provider or their respective insurance. We highly recommend that all members of your group secure appropriate travel and health insurance before your trip.
In all cases, you must first seek compensation from the primary partner (Hotel or Activity provider).
A photo and film recording might be produced by the events. Every person who appears on the recordings can be name-checked only with their agreement, however, they may not have any claims to the makers of the recordings or the organizers of the event.
PERSONAL INJURY UNCONNECTED WITH YOUR BOOKED ITINERARY ARRANGEMENTS
If you, or any member of your party, suffer death, illness, or injury whilst overseas arising out of an activity which does not form part of your itinerary arrangements or an excursion arranged through us, we shall at our discretion, offer advice, guidance and assistance to help you in resolving any claim, which you may have against a third party, provided we are advised of the incident within 90 days of its occurrence.
